Why am I not able to view a certain document/video on the FPA dashboard/app? (Troubleshooting checks)
1. Why can’t I see my document/video created using the FPA dashboard in the FPA app?
Check-1: Is the document/video published?
Check if the document/video in question is ‘Published’ or ‘Unpublished’. If ‘Unpublished’, change the document/video status to ‘Published’ by editing it or clicking on the ‘Publish’ icon as shown below to publish the document/video.
If changes mentioned above were executed, refresh the FPA dashboard/app and check if the you able to see the document/video now, if not perform Check-2.
Check-2: Is the document/video used in a Procedure Rule? And is the same Procedure Rule used in the Procedure pathway assigned to the patient using the FPA app?
Open the document/video that you need to troubleshoot and check if it is used in the patient’s (using the FPA) assigned pathway. It should show the patient’s assigned pathway in the ‘Pathways using this document’ card in the document/video’s details page as shown below.
If the patient’s assigned pathway does not show up in the card mentioned above, open the Procedure Pathway tab and find the patient’s assigned pathway.
Next, view the details of the pathway and go to the stage where the document/video should have actually appeared. Check if there are any Procedure Rules first, if not, you need a create a new Procedure Rule that uses the document/video in question to the patient’s assigned pathway.
If Procedure rules are present, check all the procedure rules in that stage to determine if any of these rules use the document/video in question properly.
Click on the rule displayed in that stage to be redirected to the Procedure Rule’s details page, there are two possible scenarios to check here -
Is the procedure rule using the correct document/video?
Is the procedure rule triggered as intended?
Rectifying any mistakes here and refresh the dashboard to see the patient’s assigned pathway in the ‘Pathways using this document’ card in the document/video’s details page.
Finally, if changes mentioned above were executed, refresh the app/dashboard and check if the you able to see the document/video now, if not raise a Service Desk ticket for resolution by the Liquid State team.
2. Why can’t I see my document/video created using the Carbon Editor in the FPA app?
Check-1: Is the document/video available in Ubiquity?
Login to your idm account and go to the Ubiquity dashboard.
Next, select and open the FPA app where the document/video is supposed to be and click on content.
If you are not able to find the document/video you are looking for here, click on ‘Categories’ from the left hand side menu and open the category where it should be, to check for this document/video by clicking on ‘Manage Documents’.
You should be able to find your document/video in this filtered list more easily.
Finally, if you are still not seeing your documents after following the above mentioned steps, perform Check 2.
Check-2: Is the document/video exported to Ubiquity from Carbon Editor?
Login to your idm account and go to Carbon Editor.
Check if the document/video is available in the intended document category by clicking on the category.
Click on the document to view details and click on ‘Versions & Exports’.
Check if there is a version of the document/video already created, if not create a version by clicking on the ‘Create Version’ button.
Next, click on the ‘Export’ button as shown in the screenshot above to see if the document/video was exported to Ubiquity, if not click on the ‘Create Export’ button and follow the export process, at the end wait for the status to show ‘Complete’. Click on ‘View in Ubiquity’ under the ‘Action’ column to confirm its available in Ubiquity.
Next, If changes mentioned above were executed, refresh the FPA dashboard/app and check if the you able to see the document/video now, if not perform Check-3.
Check-3: Does the document/video have the right metadata?
Go to the document/video in Carbon Editor and click on the drop down menu next to ‘Versions & Exports’, then click on ‘View Metadata’.
You see two different screens depending on if you had previously added metadata or not.
If you had forgotten to add metadata before, click on the link to add metadata on the following screen as shown below.
After clicking on it, you should see the following screen, clear it and add the following metadata -

Alternatively, if you have added metadata before, yo should see the following screen, go to ‘owner_id’ and click ‘Edit’ to check if the metadata is correct.
Click on ‘Save’ after both scenarios to update the metatdata. Next, if changes mentioned above were executed, refresh the FPA dashboard/app and check if the you able to see the document/video now, if not perform Check-4.
Check-4: Does the document/video have the right meta tags?
Go to the document/video in Carbon Editor and click on the drop down menu next to ‘Versions & Exports’, then click on ‘View Metadata’.
If you had forgotton to add meta tags or have added the wrong meta tags, click on ‘Edit’ as shown below to add/edit the meta tags.
Add ‘EN’, ‘GLOBAL’ and ‘document’ for documents/ ‘VIDEO’ for videos and click ‘Save’.
Next, if changes mentioned above were executed, refresh the FPA dashboard/app and check if the you able to see the document/video now, if not perform Check-5.
Check-5: Does the document/video have the right permissions set in Ubiquity for it to be seen in the app?
Go to the Ubiquity dashboard and open the document/video in question. Click on ‘Permissions’.
Click on ‘View Permissions’.
There are 2 options here as shown in the screenshot below,
Option 1 is the general selection for document/video (content) that is added to a patient’s pathway or sent to them as an ad-hoc message. By default option 2 is selected, therefore if not updated to option 1, general documents will not be viewwable by general app users.
Option 2 restricts the visibility of the document/video to cretain app user groups. It is used for sensitive documents and therefore is the default option for security reasons.
Next, if changes mentioned above were executed, refresh the FPA dashboard/app and check if the you able to see the document/video now, if not perform Check-6.
Check-6: Does the document/video availability set properly in Ubiquity for it to be seen in the app?
Go to the Ubiquity dashboard and open the document/video in question. Click on ‘Publishing’.
Ensure ‘Free’ option is selected in ‘Document Availability’. If not, select the ‘Free’ option and click on ‘Save’ button for the document to be published to all app users.
Finally, if changes mentioned above were executed, refresh the app/dashboard and check if the you able to see the document/video now, if not raise a Service Desk ticket for resolution by the Liquid State team.
