Space Administration - Categories

The Categories Tab
The Categories tab contains a list of the Document Categories within the Space.
Space Admins can add, rename, and delete Document Categories, and manage Document Category Editors from within the Categories tab.
Accessing the Categories Tab
To access the Users tab for a Space:
- Click your current Organisation's name in the top navigation bar.
- Under Swap Organisation, choose the relevant Organisation from the list.
You will be taken to the Organisation view. - Under the Spaces heading, click the name of the relevant Space.
- Click the Space name in the top navigation bar, then click Administer "
Space Name
".
You will be taken to the Overview tab of the Space's administration. - Click the Categories tab.
Add a Document Category
To add a new Document Category:
- Click the Add a Document Category button.
- Enter a Name for the category.
- Choose a Default theme for the category.
- Click the Save button.
Edit a Document Category
To rename an existing Document Category, or change its default theme:
- Locate the Document Category in the list
- Click the arrow in the Actions column to open the Actions dropdown menu.
- Click Edit Details.
- Make changes to the Name and/or Default theme for the category.
- Click the Save button.
Delete a Document Category
Deleting a Document Category does not delete the content within the category.
Documents previously available within the deleted category will still be available in the All Documents category
The All Documents category cannot be deleted.
To delete a Document Category:
- Locate the Document Category in the list
- Click the arrow in the Actions column to open the Actions dropdown menu.
- Click Delete.
- Confirm you want to delete the Document Category by ticking the confirmation box.
- Click the Delete button.
Manage Document Category Editors
Space admins can manage the Category Editors within a Document Category.
To do so:
- Locate the relevant category in the Document Categories list.
- Click the Manage Category Editors button.
You will be taken to the Manage Editors for Document Category view, which contains several lists of users:
- Current Category Editors - existing Category Editors within the Document Category.
- Users who can be Category Editors - these are users who are not yet Category Editors, but who have permission to access the Space, and are eligible to be promoted to Category Editor role.
- Users who cannot be Category Editors - these are users who are already assigned permissions beyond the Category Editor role (such as Organisation Admins, Space Admins, or Space Editors). They can already edit content within the Document Category, without needing to be assigned Category Editor permissions.
Promote a User to Category Editor
To promote a user to a Category Editor role:
- Locate the relevant user under the Users who can be Category Editors heading.
- Click the Grant Category Editor permissions.
The user will be promoted to the Category Editor role, and will now appear in the Current Category Editors list.
They will no longer be able to edit the content within the Document Category.
Revoke Category Editor Permissions
To revoke a Category Editor's editing permissions:
- Locate the relevant user under the Current Category Editors heading.
- Click the Revoke Category Editor permissions link.
The user will no longer have permission to edit content within the Document Category.
